Model the service and its resources
For an illustrative consultation, reserve a 30-minute appointment plus a 10-minute buffer, one staff member and one room. Those numbers are planning examples, not recommended settings for every business. Record working hours, breaks, preparation and resource conflicts for each service. If the room or employee is unavailable, decide whether the customer should see another slot or a request that awaits approval. A free-looking time on one calendar does not establish that every resource is available.
Choose one source of availability
Name the system or approval process that decides whether a booking is accepted, and document how staff changes reach it. MaviBot offers online booking; test your exact calendar and resource combination in the current account. Verify booking, changes and cancellation separately instead of assuming that a visible calendar connection synchronises every operation. Keep a request pending until the authoritative process confirms it.
Show what was actually confirmed
A confirmation should contain the service, date, time, named time zone when relevant, location or meeting route, and any preparation steps. Distinguish “request received” from “appointment confirmed” in both the customer message and staff record. Test with two people viewing the same booking from different time zones. If the customer changes the time zone display, verify that the underlying appointment instant stays the same.
Test the last available slot
Use two test customers trying to book the same remaining slot. The expected outcome is one accepted appointment and an understandable alternative or pending state for the other request, subject to your process. Check a delayed response and a repeated tap as well. The customer should not receive success while staff see a conflict, and entered details should remain usable if the customer needs to choose another time. Record the actual behaviour before relying on the flow.
Treat a reschedule as a controlled change
For a move from Tuesday to Thursday, check the replacement availability and the outcome of the change before announcing the new booking. Verify the treatment of the original slot if the replacement fails. After a successful move, staff and customer should see the same new time, the old slot should be handled according to your rules, and obsolete reminders should be cancelled. Provide a human route if a partially completed change cannot be reconciled automatically.
Connect reminders to the current booking
Send appointment information only for the accepted, current booking state. A cancellation or reschedule should invalidate messages prepared for the old date. Test a reminder queued just before a cancellation, a late customer reply and a moved event near a clock change. State any applicable payment or cancellation terms before confirmation and have the responsible business owner review them. A sent reminder does not prove delivery or attendance.
Rehearse failures before expanding
Create a checklist covering a new booking, unavailable staff, a closed day, conflicting resources, a missing field, a duplicate request, a reschedule, a cancellation and an unavailable integration. For every case compare the customer message, calendar state and staff notification. Use the actual business-owned accounts and channels you plan to launch. Correct false confirmations and lost change requests before accepting more customers.
Compare operating effort and provider fit
Compare a dedicated scheduler, the current calendar workflow and MaviBot using the same service rules. Ask each candidate to demonstrate resource checks, staff permissions, export and the exception cases above, and confirm current plan requirements. Track confirmed bookings, reschedules, no-shows and manual corrections separately. Include setup, channel and maintenance costs; neither a completed request nor a reminder click proves an attended or paid service.
Questions and answers
When can a request be called a confirmed appointment?
When the authoritative calendar or approval process has accepted the booking and the customer and team can see the same service and time.
What is the most useful rescheduling test?
Try moving an existing booking to an unavailable replacement slot. Check that the original booking is handled safely and that no false new confirmation or obsolete reminder is sent.
Should two time zones create two appointments?
No. They should describe the same appointment instant. Use a named time zone in cross-region confirmations and verify the actual display.
